Event manager interview questions, and what a strong answer sounds like

Event manager interviews test whether you can own a program, not just run a day. Expect questions about money you controlled, contracts you signed and a moment on site when the plan fell apart. Bring numbers from your own events; they're the difference between sounding like a planner and sounding like a manager.

The 8 questions you will almost certainly get

The questionWhat they want to knowYour angle
Walk me through the largest event budget you've owned from start to finish. This is the line between a planner and a manager. They want to know whether you set the number or only spent it, and whether you reconciled it afterward.Name the event, the total budget and who approved it
How do you negotiate a hotel contract, and which clauses do you watch most closely?A bad room block or food and beverage minimum can cost more than any other mistake. They want to hear that you read contracts, not just sign them.Mention attrition, cancellation and the food and beverage minimum by name
Tell me about a time something went badly wrong on site. What did you do in the first hour?Every event breaks somewhere. They're checking whether you stay calm, decide fast and keep attendees from noticing.Set the scene briefly: a no-show speaker, a power failure, a weather call
How do you decide whether an event was worth the money?Leadership funds events that show a return. A manager has to connect a ballroom full of people to a business result.Say you agree on the goal before booking anything, such as pipeline, donations or retention
How have you led a team of planners or freelance staff on a show day?At this level you're managing people, often temporary ones you've never worked with before. They want to see structure.Describe the briefing you run before doors open
A senior executive wants to add something the budget can't cover two weeks before the event. What do you do?Scope creep from senior people is constant. They want someone who can say no without damaging the relationship.Acknowledge the goal behind the request first
How do you choose between vendors when two quotes look similar? They're testing judgment beyond price and whether you run a fair process.Explain that you send the same written brief to each so quotes compare cleanly
What does your risk and emergency plan for an event usually cover? An event manager is responsible for attendee safety. They want to know you plan for it rather than hope.List the basics: evacuation routes, first aid, security briefing, lost child or medical protocol

A forgettable answer, and a better one

"Walk me through the largest event budget you've owned from start to finish."

Forgettable

You describe the event in detail but can't say what it cost or how close you landed to the budget.

Better

Name the event, the total budget and who approved it. Explain how you split it across venue, food and beverage, production and travel. Describe one tradeoff you made when a line went over. Give the final number against plan and how you reported it to finance.

"How do you negotiate a hotel contract, and which clauses do you watch most closely?"

Forgettable

You say the venue sales team handles the contract and you just confirm the dates.

Better

Mention attrition, cancellation and the food and beverage minimum by name. Explain how you size the room block from past pickup data. Give an example of a concession you won, such as comp rooms or free Wi-Fi. Say when you bring in legal or procurement.

Questions to ask them

  • Who sets the event budget, and how much say will I have in it?
  • How does the business decide whether an event was a success?
  • What's the biggest event on the calendar, and what went wrong with it last time?
  • Will I have planners reporting to me, or will I rely on freelancers and agencies?
  • How much travel does the role involve in a busy season?
