HeroApply is a job application assistant. This page explains what we collect, why we collect it, who else sees it, and how to have it removed. It is written in plain language on purpose.

What we collect

When you create an account and use HeroApply, we store:

• Your email address, used to sign you in and to contact you about your account.
• Your resume - the file, and the text and facts read out of it.
• Your profile answers - the details you save so applications can be filled in as you.
• Your job search settings - titles, locations, how selective to be, how many applications to send.
• A record of every application the agent considered or submitted, and the answers it gave.
• Replies from employers that reach your HeroApply inbox, so you can see them next to the job.
• Usage and technical information, such as pages visited, device and browser type, and error logs, so we can keep the service working.

If you buy a plan, your card details go straight to our payment processor. We never see or store your full card number.

How we use it

We use your information to find jobs that match you, fill in and submit applications as you asked, show you what happened, bill you for the plan you chose, keep the service secure, and fix what breaks. We do not sell your information and we do not use it for advertising.

Who else sees your information

We share your information with service providers only where the product could not work otherwise, and only so they can provide their service to us:

• Hosting and database providers, which run this website and store your account.
• A payment processor, which takes payment for paid plans.
• Product analytics providers, which record how the site and app are used, including recordings of browsing sessions, so we can see where people get stuck. Anything you type into a form is masked and never recorded.
• Email verification services, which receive your email address when you sign up, so we can check the inbox exists.
• Third-party AI service providers (OpenAI), which receive your resume, your profile details (work history, education, skills and job preferences), the job postings we match you with, and an employer email when you ask us to draft a reply. They use it only to read your resume, match you with jobs, write cover letters, tailor your resume and draft replies for you. They process it on our behalf under contracts that protect it at least as well as this policy, and do not use it to train their models. The app asks your permission before any of it is shared.
• Google, if you choose to sign in with your Google account.

Employers and job boards

When the agent applies to a job it sends your details to that employer through the job board or application site, exactly as if you had filled the form in yourself. Once sent, that information is held by the employer and the site under their own privacy policies, not this one. We cannot recall an application or delete what an employer has received.

Only put in your profile what you are comfortable sending to employers. Do not store things like government ID numbers or health information unless an application genuinely needs them.

Cookies

We use cookies to keep you signed in, to remember a display choice such as viewing the full site on a phone, and for product analytics. There is no advertising tracking on this site.

How long we keep it

Account information is kept while your account exists. When you ask us to delete your account we delete your information, except what we must keep for legal, tax, billing, fraud-prevention or security reasons.

Your choices

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email support@heroapply.com from the address you signed up with and we will act on it.

Security

We protect your information with access controls and encryption in transit. No system is perfectly secure, so we cannot guarantee that information will never be accessed, lost or changed without permission. If we learn of a breach that affects you, we will tell you as the law requires.

When the law requires it

We may disclose information if the law requires it, or if we believe in good faith that doing so is needed to respond to legal process, protect someone’s safety, or protect HeroApply and its users from fraud or abuse.

Children

HeroApply is for people aged 18 and over. We do not knowingly collect information from anyone younger. If you believe a child has given us information, email support@heroapply.com and we will delete it.

Changes

This notice will change as the product does. The date at the top is when it last changed. If a change is significant, we will tell you by email or in the app before it takes effect.
