How to become an Implementation Consultant

An implementation consultant is the person who gets software a customer just bought actually working inside their business. You sit between the sales promise and the go-live date, running workshops, configuring the system, moving data over and training the people who'll use it. Most people get here sideways, from a job where they already knew the software or the process it replaces.

What the job really is once the contract is signed

The deal closes, and the customer gets handed to you. Your first meeting is a kickoff call where you learn what sales told them, which is often a bit more than the product does. From there you run discovery sessions, write up how their process will map to the system, and start configuring. On a payroll or HR platform that means pay codes, approval chains and org structures. On an ERP like NetSuite it means a chart of accounts, item records and saved searches.

The middle of a project is mostly data and testing. You'll spend real hours in Excel cleaning a customer's spreadsheet of vendors before it'll import, then chasing their finance lead to sign off on test results. The end is training and go-live, and the week after go-live is usually the loudest week of the whole project.

Here's the part some people hate. You rarely control the timeline. The customer's project lead goes on leave, their IT team won't open a firewall port, their data is a mess, and your manager still wants the project closed on schedule. You're judged on things you only half own, and the job rewards people who can stay calm and keep writing things down while that happens.

How people get into implementation work

1

Move over from support or customer success at a software company

This is the route you'll see most often. You already know the product from answering tickets or running check-ins, and the implementation team knows you. Ask to shadow a kickoff, volunteer for a data import, and tell your manager you want the next opening. Internal moves skip the part where a hiring manager has to guess whether you can learn the product.

2

Bring the process knowledge from the customer side

Payroll specialists become payroll implementation consultants. Staff accountants go to ERP vendors. Clinic managers go to practice management software companies. If you've run the process the software automates, you can sit in a workshop and spot the question the customer forgot to ask. Lead with that on your résumé, and learn the product's admin side on your own time.

3

Become the system admin first

Plenty of implementation consultants started as the in-house Salesforce, Workday or NetSuite admin at a regular company. You learn configuration by living with it, you sit through a vendor implementation from the customer side, and you pick up the certification. Consulting partners that implement those platforms hire admins all the time because they can configure on day one.

4

Start as an analyst at a consulting partner

Firms that implement big platforms hire junior analysts and train them. The work is grinding at first: test scripts, data mapping sheets, status decks. It's also the one route that teaches you project structure early, and it's common for people with a business, accounting or information systems degree.

Words that show up in implementation postings

Screening software and recruiters both match on the exact terms in the posting, so if you've done data migration, write "data migration" rather than "moved records over".

Certifications worth the effort, and the ones that aren't

A platform certification is the one that moves hiring managers. Salesforce Certified Administrator, the NetSuite ERP Consultant exam, or a partner-track Workday certification tells a firm you can configure without hand-holding. Workday only certifies people at partners and customers, so you usually earn that one after you're hired.

A PMP is nice to have and rarely the reason anyone gets the job. Generic project management badges help less than you'd hope. If you've got limited time, spend it getting a free developer or sandbox account on the platform you want and building something real in it. You'll be able to talk about it in an interview, and that beats a certificate you crammed for.

Turning a support résumé line into an implementation one

Before

Helped customers with software issues and answered questions about the product.

After

Onboarded 14 mid-market customers onto our payroll platform, ran data imports of up to 2,500 employee records each, and cut average time to first payroll from 9 weeks to 6 by building a reusable config checklist.

The skills that separate good consultants from busy ones

Anyone can learn where the settings live. The consultants customers ask for by name are the ones who push back early. When a customer wants a custom approval flow with a pile of exceptions, the good consultant asks what problem each exception solves and usually finds that most of them don't need to exist.

Writing is the other big one. You'll write a solution design document, meeting notes after every workshop, and a change request when scope creeps. Clear notes are what save you when someone says, weeks later, that nobody told them. If you're coming from a job where you never wrote anything longer than a Slack message, practise now.

A little SQL helps more than people expect. You won't write production code, but being able to query a data export and find the duplicate records yourself saves days of back and forth with an engineer.

Questions people ask

Do I need a technical degree to become an implementation consultant?

No. Plenty of people in the job studied business, accounting or something unrelated. What hiring managers want is proof you can learn a system and explain it to people who don't want to learn it. Knowing the process the software handles, like payroll or billing, often counts for more than a computer science background.

Is implementation consulting a lot of travel?

It depends on who you work for. Software vendors selling to smaller customers do nearly everything over Zoom. Consulting partners on large enterprise projects can still send you on site for workshops and go-live weeks. Ask in the interview how much of the last project was on site, not what the policy says.

What's the difference between an implementation consultant and a customer success manager?

You own the project from signed contract to go-live, and then you hand off. The customer success manager owns the relationship after that, including renewals and adoption. Implementation is more hands-on in the system and more deadline-driven. Customer success is longer-term and closer to the commercial side.
